CHALLENGE
Stillwell-Hansen, a manufacturers representative specializing in commercial heating and air conditioning had relied on the same, outdated internal order tracking system since the late 1990s.
The new system would need to centralize all business systems, including:
Contract Lifecycle:
Manage and track the full lifecycle of contracts including intial quote to sales commissions, installation and servicing equipment for years afterwards.
Reporting:
Track sales figures and incoming work, cost and profit centers, and the health and progress of each division across the organization.

SOLUTION
We designed an entirely new custom web application that brought this companies mission-critical business software into the 21st century.
The nature of this software was inherently complex, but the our intuitive workflows felt familiar to employees that had been using the legacy system for 20 years.
As a result, onboarding employees onto this platform has been quick, with very little training needed and high adoption rates.

USER PERSONAS
To understand all of the actors using or influencing the new system, we created 8 fictitious personas that defined those inside and outside the system.

WORKFLOWS
To define how project requests are created, the route they travel once entered into the system, and all of the actors involved we itereated on workflow diagrams to map this activity.

INFORMATION ARCHITECTURE
Through multiple whiteboarding sessions, we designed a high-level conceptual sitemap of the system. This provided the scaffolding from which to work in as we moved into agile development.

LEGACY SYSTEM TESTING
We spent time auditing the outdated system to understand whatthe current tasks and workflows were. While we were completely doing away with the old system, it was still important to understand where we were coming from.

WIREFRAMES
We iterated through dozens of wireframes, much of which was tabular and workflow heavy, and included a rich-search capability.

VISUAL DESIGN
After wireframes were approved, screens were further refined, smoothing out all UX/UI considerations.

After visual design was complete, we proceeded to define interaction and motion throughout the application.
